Last updated: 24 September 2026
At helenbillows.com, we are committed to protecting your privacy as a customer and an online visitor to our website. We use the information we collect about you to maximise the services that we provide to you. We respect the privacy and confidentiality of the information provided by you and adhere to the Australian Privacy Principles. Please read our privacy policy below carefully.
1 WHO THIS POLICY APPLIES TO
This Privacy Policy explains how Helen Billows, sole trader, ABN 14 155 100 303, collects, holds, uses and discloses personal information through helenbillows.com, free resources, newsletters, digital Products, course accounts, support communications, question facilities and related live educational sessions. References in this Privacy Policy to "Helen Billows" are references to Helen Billows in that business capacity.
Helen Billows manages personal information covered by this policy consistently with the Privacy Act 1988 (Cth), the Australian Privacy Principles and other applicable Australian privacy law.
Clinical psychology services are delivered separately through Billows Psychology. Clinical records and information collected for clinical care are governed by Billows Psychology's clinical privacy information and consent arrangements. Both activities are operated by Helen Billows under the same sole-trader ABN, but their purposes, systems and service relationships are kept distinct. If a message sent through helenbillows.com is actually a clinical enquiry, it may be redirected and handled under the relevant Billows Psychology privacy process.

3 PERSONAL INFORMATION COLLECTED
The kinds of personal information collected or held may include:
your name, email address and other contact details you choose to provide;
account details, login identifiers and account status;
order, invoice, payment status, transaction identifier, refund and payment-plan information;
the Products you obtain and your access, progress or completion information;
email subscription, consent, preference, delivery, opening, click and unsubscribe information;
enquiries, support requests, complaints, feedback and correspondence;
questions submitted for educational review and any information you voluntarily include;
attendance information for live sessions and, where separately disclosed and consented to, a recording containing your name, image, voice or chat contribution;
professional status or intended use where relevant to a practitioner-use licence; and
technical and usage information such as IP address, device and browser information, approximate location, referral source, pages viewed, timestamps, cookie identifiers and analytics events.
Payment providers process complete card or account details. Helen Billows generally receives confirmation, transaction and limited billing information rather than your complete card number.
4 HEALTH AND OTHER SENSITIVE INFORMATION
The Website and Products are not intended to collect clinical histories or detailed health information. Question and enquiry forms will ask you not to provide sensitive or identifying details.
You may nevertheless voluntarily include information about your mental or physical health in a question, email or support request. Where a form expressly asks for consent, Helen Billows collects that sensitive information with your consent and only for the stated purpose, such as reviewing or responding to the submission. Providing health information through an educational form does not create a clinical relationship or clinical record.
If Helen Billows receives sensitive information or personal information about another person that was not requested, Helen Billows will assess whether it could lawfully have been collected. If it could not, Helen Billows will take reasonable steps to destroy or de-identify it where lawful and practicable.
Please do not provide another person's name, contact details or other identifying information. If you describe a situation involving another person, remove details that could reasonably identify them.
5 HOW INFORMATION IS COLLECTED
Personal information may be collected:
directly from you when you complete a form, request a free resource, subscribe, purchase, create or use an account, submit a question, attend a live session, contact Helen Billows or ask for support;
automatically through cookies, similar technologies, embedded media, server logs and analytics tools when you use the Website or a Product;
through service providers that operate the Website, checkout, payment, course, video, email, form, analytics or live-session systems; and
from another person where you authorise them to contact Helen Billows or purchase on your behalf.
Where practicable, you may browse public pages without identifying yourself. An anonymous or pseudonymous question option may be offered, but technical information such as an IP address or device data may still be processed by the form or platform. Accurate identifying or payment information may be required where it is impracticable to provide an account, purchase, refund or support service without it.
6 PURPOSES OF COLLECTION USE AND DISCLOSURE
Helen Billows may collect, hold, use and disclose personal information to:
process and administer orders, payments, refunds and accounts;
deliver Products, downloads, course access, live-session information and transactional messages;
save progress or completion information and provide technical support;
respond to enquiries, submissions, complaints and privacy requests;
review, edit, de-identify and respond to submitted questions for general educational purposes;
administer separately consented recordings and replays;
manage intellectual property licences and investigate suspected unauthorised access or sharing;
operate, secure, troubleshoot, analyse and improve the Website and Products;
send marketing communications where you have consented;
maintain consent and unsubscribe records;
prevent fraud and protect users, systems and legal rights;
comply with tax, accounting, consumer, privacy, regulatory and other legal obligations; and
establish, exercise or defend legal claims.
Helen Billows does not sell personal information.
Helen Billows does not use personal information to make solely automated decisions that could reasonably be expected to significantly affect a person's rights or interests.
7 FREE RESOURCES NEWSLETTERS AND MARKETING
When a free resource is expressly offered in exchange for joining the email list, submitting the clearly labelled sign-up form gives consent to receive the resource and occasional marketing emails from Helen Billows. You may unsubscribe at any time.
Purchasing a Product does not by itself subscribe you to marketing. A purchaser is added to the marketing list only if they separately and expressly opt in. Sending an enquiry or support request also does not subscribe you.
Marketing emails are sent using MailerLite and may use standard email technologies to record delivery, opening and link interaction. These records help manage consent, improve communications and understand whether content is useful.
Every commercial email will identify the sender, provide contact details and include a functional unsubscribe method. Unsubscribe requests will be honoured within five working days, although an automated link will usually act sooner. Helen Billows may retain a minimal suppression record so that the address is not accidentally added again without fresh consent.
Unsubscribing from marketing does not prevent necessary transactional messages about a purchase, account, security issue or requested support.
8 COOKIES ANALYTICS AND EMBEDDED MEDIA
The Website and connected services may use cookies and similar technologies that are necessary for site operation, security, checkout, account access, preferences, analytics and embedded media.
Squarespace may set cookies required to operate and secure the Website. Google Analytics is used to understand Website traffic and use. Embedded Vimeo videos may collect device, usage and cookie information when loaded or played. ThriveCart, payment providers and course tools may also use cookies for checkout, fraud prevention, login and service operation.
Where a cookie control is available, you may use it to decline non-essential cookies. You can also control cookies through your browser, although blocking necessary cookies may prevent checkout, login, video or other functions from working correctly.
Helen Billows does not currently use the Meta Pixel on the Website. If advertising pixels or materially different tracking technologies are introduced, this policy and the relevant consent controls will be updated before or when they are activated.
9 LIVE SESSIONS QUESTIONS AND RECORDINGS
Questions may be submitted anonymously, through an identified form or by email. Do not use these channels for urgent or clinical communication and do not include unnecessary sensitive information.
Some Products may include live educational sessions through Zoom. The session notice will state whether a session will be recorded, what the recording will contain, why it is being made, who will be able to access it and how long it is intended to be retained.
Helen Billows will seek express consent before including a participant's identifiable name, image, voice or chat contribution in a recording. Where the format permits, a person who does not consent may participate without camera or microphone, use an anonymous display name or submit a question through the available anonymous process. The practical options will be explained before the session.
Recordings are used only for the purposes disclosed in the session notice, such as providing a replay to eligible purchasers. They are retained for the stated replay or access period and a reasonable administrative period, unless a longer period is required by law or separately agreed.
10 SERVICE PROVIDERS AND DISCLOSURE
Personal information may be disclosed to service providers where reasonably necessary for the purposes in this policy. Current provider categories and services include:
Squarespace for Website hosting, forms and site operations;
ThriveCart and ThriveCart Learn for checkout, course accounts, access, progress and product delivery;
Stripe and PayPal for payment processing, transaction administration and fraud prevention;
MailerLite for email delivery, subscription management and email analytics;
Vimeo for hosting and delivering video;
Zoom for live educational sessions and any separately consented recording; and
Google Analytics for Website usage analytics.
Information may also be disclosed to professional advisers, insurers, regulators, courts, law-enforcement bodies or other persons where authorised or required by law, or where reasonably necessary to protect legal rights or safety.
Service providers may collect information under their own privacy policies as well as process information on behalf of Helen Billows. Their services, corporate structures and subprocessors can change. Helen Billows periodically reviews the provider list and updates this policy where a material change affects how personal information is handled.
11 OVERSEAS DISCLOSURES
Many of the service providers used for the Website and Products operate internationally. Personal information is likely to be disclosed to or processed by recipients in the United States and European Union member states. It may also be processed in other countries where a provider or its subprocessor operates.
Because some providers use global infrastructure and changing subprocessors, it is not always practicable to identify every country in advance. Where the Privacy Act requires it, Helen Billows takes reasonable steps appropriate to the circumstances before disclosing personal information overseas. Overseas recipients may be subject to laws that differ from Australian privacy law.
12 STORAGE SECURITY AND DATA BREACHES
Personal information is held through the service providers described above and, where necessary, in business email and administrative records. Helen Billows takes reasonable steps appropriate to the nature and sensitivity of the information to protect it from misuse, interference, loss and unauthorised access, modification or disclosure. Those steps include selecting established providers, using available security controls, restricting access and maintaining appropriate account security.
No internet transmission or storage system can be guaranteed completely secure. If a data breach occurs, Helen Billows will assess and respond to it and make notifications required by the Privacy Act's Notifiable Data Breaches scheme or other applicable law.
13 RETENTION AND DELETION
Personal information is retained only for as long as reasonably required for the purpose for which it was collected and for applicable legal, tax, accounting, consumer, dispute-resolution and security obligations.
In general:
course account, access and progress information is retained during the 12-month access period and for a reasonable administrative, support and backup period afterwards;
transaction, invoice and refund records are retained for the period required by tax, accounting and consumer law;
marketing information is retained while you are subscribed, with a minimal suppression record retained after unsubscribe;
enquiries, complaints and support correspondence are retained for as long as reasonably required to respond and manage any related issue; and
session recordings are retained for the period stated in the relevant recording notice and a reasonable administrative period.
When personal information is no longer required, Helen Billows takes reasonable steps to destroy or de-identify it, subject to lawful backup cycles and record-keeping obligations.
14 ACCESS CORRECTION AND DELETION REQUESTS
You may request access to personal information held about you or ask for inaccurate, incomplete, out-of-date, irrelevant or misleading information to be corrected. You may also ask for deletion where applicable, although some information may need to be retained for legal, transaction, security or dispute-resolution reasons.
Send a request to hello@helenbillows.com. Helen Billows may need to verify your identity before acting and will respond within a reasonable period, generally within 30 days. If access, correction or deletion is refused or limited, Helen Billows will provide reasons where required by law and explain available complaint options.
15 PRIVACY COMPLAINTS
If you believe personal information has been mishandled, email hello@helenbillows.com with the subject line Privacy complaint and describe:
what happened;
the information or interaction involved;
what outcome you are seeking; and
how you would prefer to be contacted.
Helen Billows will aim to acknowledge the complaint within seven days and provide a substantive response within 30 days. More complex matters may take longer, in which case the expected timeframe will be explained.
If you are not satisfied after giving Helen Billows a reasonable opportunity to respond, you may contact the Office of the Australian Information Commissioner at oaic.gov.au.
16 ADULTS ONLY
The Website and Products are intended for people aged 18 and over. Helen Billows does not knowingly collect personal information through these services from a person under 18. If Helen Billows becomes aware that such information has been collected, reasonable steps will be taken to delete or de-identify it unless retention is required by law.
17 INTERNATIONAL USERS
The Website and Products are operated from South Australia. People outside Australia may have additional privacy rights under mandatory local law. You may contact hello@helenbillows.com to exercise an applicable right. Availability of the Website in a country does not represent that the Website is directed to or complies with every law of that country.
18 CHANGES TO THIS POLICY
Helen Billows may update this Privacy Policy when practices, providers or legal obligations change. The current version will be published on the Website with its update date. If a change materially affects how already collected personal information is used or disclosed, Helen Billows will take any additional steps required by law.
